1.0 Introduction

This document details the various communication modes we will use to better manage all the projects at GlobalCADS.

2.0 Productivity Tools

We use our own customized Project Planning & Management Software for the process flow of ongoing projects. With the help of the software our Team and Clients can be able to view the current status of the project. Clients are provided with access to monitor all the Team Members activity in various Departments included in the respective Project. Clients will receive a detailed report about the project at every day's end which help them to plan for the next day activities and making them to Interact with Project Head/Team Leader/Team Member if necessary. It gives a clear idea about how the time is utilized for a particular job making the billing simple and accurate thus maintaining an exact output in a specified timeframe.

2.1 Daily huddle (scrum) meetings with the team

"The Daily Huddle has arguably been one of the greatest productivity and efficiency booster off-shoring industry has ever experienced"

The daily huddle is a group meeting with every individual who is working on the project. Daily huddle is a chance for everyone to "check-in" with their plan for the day and it's also an opportunity to point your team in the right direction and get a flavor for the day ahead. It is a chance to see who is prepared and who is not. We will have daily huddle meetings in Skype (group conversation) with our team where they will answer 3 questions every day.

  1. What have you done since last daily scrum?
  2. What will you do before the next daily scrum?
  3. What obstacles are impeding your work?

Typical huddle chat

Huddle aims at giving answers to what has been done, what is to be done and what is blocking the team from completing their tasks. Team lead will post the huddle updates in Confluence everyday.

2.2 Retrospective meeting after every milestone

Retrospective meeting is a special meeting where the team gathers after completing an increment amount of work to inspect and adapt their methods and teamwork. This enables the whole-team learning, act as catalysts for change, and generate action. In contrast to traditional postmortems or project reviews, retrospectives focus not only on the development process, but on the team and the issues faced by them.

During this meeting, we consider three things: what went well, what didn't, and what improvements could be made in the next phase.
